Detect If user add a record

Hi,

I am trying to make a leave application which will be install on every user's desktop. I want to achieve below

when a user enter's a leave, it should seemlessly appear on other user's application without clicking any button. i have a way to refresh my data grid after an interval of time but i want to ask if there is any other way to do this.
